Position Summary

The Manager, Estimating-Planning reports directly to the CFO and is responsible for the coordination of the timely, accurate and cost-effective production cost and selling price estimates for client printing jobs (both proposed and produced), based on estimating guidelines, to support bidding prices which are profitable to the company and fair to the clients.

Responsible for maintaining the computerized estimating systems standards. Also responsible for ensuring the accuracy of estimates compared to production standards.

Responsible for working with the prepress, press, bindery and outside planning activities, to make the plant cost efficient.

Coordinates the review and preparation of individual printing jobs for production in terms of clear requirements as to specifications, press plan and production material including procurement of outside materials/services as required.

Also responsible for providing scheduling with production times for each department on an accurate and timely basis.

The incumbent provides members of the organization with recommendations, information and services to ensure the completion of printing jobs within budget and in accordance to established policies and procedures. The incumbent works with CFO to evaluate and update budgeted hourly rates. The incumbent is responsible for maintaining budgeted hourly rates, operation codes and work center codes for shop floor data collection (in coordinated with IS Manager).

Monitors inventory levels and turnover rates for each item. The incumbent works with all levels of employees internally; and customers/vendors externally.

Estimating: Responsible for directing and prioritizing daily estimating needs. Ensures that quote requests are complete and that team delivers estimates that are accurate, competitive and delivered when needed.

Planning: Ensures that job planners understand the specifications of jobs; effectively plan how the job will be produced and materials are on hand or will arrive in time to meet production schedules.

Costing: Participates in job cost meetings to ensure that production costs are accurate and monitors estimate vs actual to help maintain Bolger’s print standards.

MIS System: Ensures that job costing and MIS system is accurate and optimized. Validates job costing and BHR’s a minimum of 2 times per year to ensure that efficiencies gained in production and material price increase/decrease are reflected in the system


Coordinates preparation of estimates for carrying out the successful completion of job tickets in a cost effective manner for both the company and clients.

Ensures estimates are prepared on time and in a quality manner by estimating work group.

Identifies exceptional situations and provides cost-effective estimates to “special needs” jobs.

Provides documentation for monitoring and controlling the production costs and subsequent client billing(s).

Coordinates preparation of production plans for successful and timely completion of printing jobs.

Ensures that production plans are expedited as necessary and provides details for scheduling.

Develops and reviews procedures to maximize efficiencies of the department including.

Develops and maintains effective and efficient assignment of responsibilities and expected level of performance of assigned personnel.

Evaluates the work performance of assigned personnel on a continuing basis to recognize results and to identify needs for improvement or change.

This position requires persuasiveness, analytical and numerical abilities, and strong sense of equity, good judgment, and good administrative skills.

Must possess strong verbal and written communication skills, interpersonal skills, flexibility and diplomacy. Incumbent has heavy employee/vendor contact.

Must effectively relate to all organization levels internally and externally.

Must have a working knowledge of printing industry and requirements of production processes throughout the company.

Must be able to operate business office equipment, including the computer. Ability to negotiate with vendors, production, and sales staff.

Ability to follow and improve existing processes; Proficient in Microsoft Office Suite.
